Job brief
As the ambassador of Workshop17 Ballito, you’ll be the main point of contact for members and guests alike, and responsible for giving our clients that W17 community wow-experience factor. You’ll have the ability to wear many hats, and a friendly smile, while supporting the community team to plan, manage and deliver five-star service to our members. You’ll need to be a customer service superstar with a can-do-it-all-attitude, and top-notch work ethic to anticipate our members and guests needs before they do! Team player, tick that box - you’ll be working hand-in-hand with the Location Manager and team. Calm, and focused on the bigger picture brand, is what we’re after, and of course creating the ultimate perfect day for Workshop17 Ballito.

General scope of work
Community Management
Assist Location Manager with the following, yet not limited tasks:
Walkthroughs
Space checks
Reception duties
Parking requests
Credit card sheet
Use of the my.w17 community platform
Assist the team with managing stock
Managing member queries.
Member/community engagement.
Space & building facilities and maintenance
Regular maintenance walkthroughs.
Facilities Management which includes but is not limited to:
Space cleanliness and setup
Managing cleaning duties
Regularly connecting with members for their feedback.
Logging maintenance on our support platform.
Events Management
Managing meeting and boardroom bookings, internally and externally.
Pre-event: Events booking process and schedule on the platform, and communication with clients.
Assisting on-site with catering, staff, IT/AV; running orders, setup/layout
Parking arrangements communicate with clients.
Post Event - breakages, breakdown and setup for the next day.
Connecting with the client post event for their feedback, and capturing the feedback.
Business development (sales) and member experience
Collect insightful event & member Intelligence and input into CRM/myW17 Platform daily.
Referrals cross-locations (meeting rooms and workspace).
Lead generation and placed on CRM.
Contribute and utilise relevant Zulip channels to share knowledge and build business intelligence and services per location.
Client satisfactionEnsure 5-star service to all clients/members at all times. Provide services, assistance, and solutions that often exceed clients’ expectations.
Timely and professional response to all requests, community and events.
Team player/supportGeneral support to the location team and assisting all departments when necessary.
Ideal Qualifications/Experience
NQF4
Excellent communication skills - verbal and written.
Experience in co-working or shared office sector, guest relations/hospitality and/or customer-facing operations.
Experience managing meetings and boardrooms.
IT/computer literacy.
Knowledge or experience using G-Suite.
